Information
Start and Stop a Share Activity
To being, select the Share icon on the meeting toolbar. Choose which content item to display. Sharing options include:
- Share the whole desktop or screen,
- Share an individual window (such as a slide set or application that is currently open on the desktop),
- Share a portion of the desktop.
Please note the tabs at the top of the Share options window. These tabs are Screens, Documents, and Advanced. In most cases, the item you wish to share is probably on the Screens panel. The presenter may also choose to share content with a specific layout by selecting an option on the right of the Share window (this is optional). Presenter layouts can customize the content window and webcam to focus attention on either one.

Next, choose Share once more to start displaying content in the meeting. To stop the Share activity, navigate to the top of the window and choose Stop Share.

Share Settings and Permissions
Select the carrot/chevron icon next to the Share icon on the toolbar to quickly review the settings and permissions.
- Select Share settings to review how content is displayed, like scale-to-fit or see content side-by-side.
- Choose Host tools for Share to specifically grant or withdraw permission to the Share icon for meeting participants.

Best Practices for Share Activities
- We recommend having all content items open and easily available on the desktop. It is possible to navigate the computer, locate and open a file during the Share activity; however, having the item already open will save time.
- Conduct one Share activity at a time in the main meeting. However, each Breakout Room (if engaged) may have its own Share activity that is independent of the main room and other Breakout Rooms.
- Annotation tools are only available when a Share activity is in progress, or while sharing a Whiteboard. For more information on annotation tools, please review this article from Zoom.
- If you share an item with sound, be sure to select Share Sound on the Share options window.
In this example, the leader is sharing a web page and has posted a chat. The annotation tools are available for mark-up.
