Microsoft Outlook: Export Mail, Contacts, and Calendar

Overview

Outlook on the Web (Outlook.com) is unable to export emails, calendars, and contacts together. In order to export this data in one file, you will need to use the Outlook desktop application.

Instructions

Export Outlook Data on a Mac

  1. Open the Outlook desktop app and sign in to your UT email account. 
  2. Click File in the top-left corner of your screen. 
  3. Click Export
    • If the Export option is greyed out: 
      1. Click Outlook in the top-left corner of your screen. 
      2. If there is a checkmark next to New Outlook, click New Outlook to turn this view off. (It can be turned on again after exporting your data.)

      3. A pop-up window will appear asking if you are sure you want to revert to the legacy version of Outlook. Click Revert

      4. Click File again. 
      5. Click Export
  4. Choose the items you want to save and click Continue

  5. Name the file and choose where you want to save it. 
  6. Click Save
  7. You will see a progress bar while the data is being exported. It may take a few minutes depending on the size of the file.

  8. Click Finish once the export is complete.

Export Outlook Data on Windows

  1. Open the Outlook desktop app and sign in to your UT email account. 
  2. Click File in the top-left corner of your screen. 
  3. Click Open & Export
  4. Click Import/Export
  5. Select Export to a file then click Next

  6. Select Outlook Data File (.pst) then click Next
  7. Select the name or the email address of the account you are needing to export.
    NOTE: Make sure there is a checkmark in the box next to Include Subfolders.

  8. Click Next
  9. Choose where you want the file saved and click Finish
    • A pop-up window will appear that will allow you to add an optional password to the file. 
    • If you would like to add a password, enter the password in both boxes then click OK
    • If you do not want a password, click OK without entering anything in the Password and Verify Password boxes. 
  10. A progress window will appear while the data is being exported. It may take a few minutes depending on the size of the file.
