UTK Gmail Configuration Instructions

Choose your Mail Client

Gmail App

OIT recommends the Gmail App on iOS and Android devices.

iOS Device (iPhone | iPad)

  1. On your iPhone or iPad, open the Gmail app.
  2. In the top right, tap your profile picture.
  3. Tap Use another account.
  4. Choose Gmail as the type of account you want to add.
  5. Follow the steps on the screen to add your account.

Android Device

  1. On your Android phone or tablet, open the Gmail app.
  2. In the top right, tap your profile picture.
  3. Tap Add another account.
  4. Choose Gmail as the type of account you want to add.
  5. Follow the steps on the screen to add your account.

Other Mail Clients (IMAP)

See Google's KB article for Checking Gmail through other email platforms.

  • Email Address & Username: netid@utk.edu (Staff/Faculty) or netid@vols.utk.edu (Students)
  • Password: Your NetID Password
  • Incoming Server: imap.gmail.com | Port: 993 | Use SSL to connect should be checked.
  • Outgoing Server: smtp.gmail.com | Port: 465 | Use SSL to connect should be checked.

Outlook for Windows

  1. Open Outlook
    You will be prompted to add an account if this is the first time you are using the app.
    *If you are adding a new account to an existing profile, open Outlook and choose File>Account Settings>Account Settings>New
  2. Enter your UTK email address and click 'Advanced Options' below the email address field.
    Choose 'Let me set up my account manually'.
    Click the Connect button.
  3. Select 'Google' as the account type.
  4. Enter the Gmail IMAP server information then click Next.
    • Email Address & Username: netid@utk.edu (Staff/Faculty) or netid@vols.utk.edu (Students)
    • Password: Your NetID Password
    • Incoming Server: imap.gmail.com | Port: 993 | Use SSL to connect should be checked.
    • Outgoing Server: smtp.gmail.com | Port: 465 | Use SSL to connect should be checked.
  5. Authenticate to your account. Follow the prompts on the screen to enter your account information.
  6. Once the account is added, uncheck the box for 'Set up Outlook Mobile on my phone, too' then click OK
  7. Your account is now added and ready to use.

Outlook for Mac

  1. In Outlook for Mac, go to the Outlook Menu > Preferences > Accounts.
  2. Click the + button to add a new account.
  3. For email address enter <yournetid>@utk.edu (Staff/Faculty) or <yournetid>@utk.edu (Students) and click Continue, then click Continue again.
  4. Your default browser will open the Google sign-in page. If it does not, click Sign in to Google on the setup screen.
  5. Log into your UT Google account with <yournetid>@utk.edu. 
  6. When prompted that Microsoft apps & services wants to access your Google Account, choose Allow.
  7. If your browser prompts you to open Microsoft Outlook, choose Open.
  8. Once setup is complete, you will see that your UTK Gmail account has been added to Outlook. Click Done
  9. We recommend renaming your Account Description to UTK Gmail
