Shared Mailbox: Adding Safe Senders to a Mailbox

Overview

Safe senders are domains and people you always want to receive email messages from. Safe recipients are recipients that you don't want to block, usually groups that you’re a member of. Messages received from any email address or domain in your Safe Senders and Recipients list are never sent to your Junk Email folder. However, they may be blocked before they reach your mailbox by junk email filtering settings on the server that hosts your mailbox.

If you have been granted access to a shared mailbox, you can use the steps below to add addresses to the Safe Senders list for the mailbox.

How do I add a sender or a domain?

  1. Sign into Microsoft 365.

  2. Choose Outlook.

  3. Your personal mailbox will open. In the upper right corner, click your initials or picture and choose Open another mailbox.

  4. Enter the NetID or email address for the shared mailbox and choose Open.

  5. The shared mailbox will open in a new browser tab.

  6. At the top of the page, select Settings (gear icon) and select View all Outlook settings near the bottom of the Settings pane.

  7. The Settings window will open; choose Junk email.

  8. Under Safe Senders and Domains, select +Add and enter the email address or domain that you want to mark as safe in the text box.  Press Enter.

    • To mark a particular domain as safe, such as all addresses that end in utk.edu, enter utk.edu in the text box.

    • To mark a particular person as safe, enter that person's full email address.  For example, to mark all messages from johndoe@utk.edu as safe, enter johndoe@utk.edu in the text box.

  9. Select Save at the bottom of the Junk email window to save your changes.

How do I remove a sender or domain?

  1. To remove an entry from Safe Senders and Recipients, select the trash can.

  2. Select Save at the bottom of the Junk email window to save your changes.

How do I edit a sender or domain?

  1. To change an entry in Safe Senders and Recipients, select the pencil.

  2. The text box will open for editing; make your preferred changes.

  3. Select Save at the bottom of the Junk email window to save your changes.
