UT Vault: Send and Access Files with Vault

Overview

UT Vault is a secure file transfer service that allows users to easily send large files quickly and securely. Files are transferred via encrypted HTTP and stored in an encrypted data store. Using Vault is easy, and it works from both a PC and a Mac. Vault is intended for file transfer and not for permanent file storage. While only UT employees are licensed for regular use of UT Vault, anyone can use this service to securely exchange files with UT employees.

Sending Files Through Vault

  1. Go to the Vault website.
    • For UT Users- You will log into Vault with your UT email address and your NetID password.
    • For Non-UT Users - You will need to create an account to use Vault. For detailed instructions on creating a Vault account, see the article “UT Vault: Access for Non-UT individuals.”
  2. Choose the file(s) to upload.  The maximum file size is 15GB. See other file size limitations and the file retention policy.
  3. Choose the file(s) you would like to upload by selecting Upload.
  4. Select the file(s) you would like to share by checking the box next to them, then select Share File(s) – Email.
  5. Enter the email address of the person to whom you would like to send the file(s). For multiple recipients, hit Enter after each address.
  6. Choose OK to send the file(s). The recipient(s) will receive an encrypted email with the link to the file(s) and a random password required to download the file.

Viewing Files Sent Through Vault

UT Users

When someone sends you a file via UT Vault, you will receive an encrypted email with a link and a random password required to download the file. The email will look like this:

UT Users using Outlook will be able to view the encrypted email with no additional steps and can simply copy the password, click on the link, and enter the password in the Password field, then choose DOWNLOAD.

Non-UT Users

Non-UT Users will need to follow this One-time Passcode process to view a decrypted version of the email from UT Vault.

  1. Choose Read the Message.
  2. On the page that opens in your browser, choose Sign in with Google or Sign in with a One-time passcode.
    • If you chose Sign in with Google, you’ll need to continue at the choice for sharing your name, email address, and profile picture with Microsoft Google Play Android Developer Account.
    • If you chose One-time passcode, retrieve the one-time passcode sent to your email from Microsoft Office 365 Message Encryption and enter it in the One-time passcode field and choose Continue.
  3. Your decrypted email will be displayed in your browser as shown below.
     
  4. Copy the password, click on the link, and enter the password in the Password field, then choose DOWNLOAD.
