This article will review the LiveOnline@UT (Zoom) meeting tools and features from the leader's point of view. Please keep in the mind that the following references the latest version of the Zoom Workplace desktop app.
Overview
The leader or host of a UT Zoom meeting may start and end the meeting, and they can also control access to meeting tools such as the meeting chat and share content activities. The following information includes an example of the meeting interface, the meeting toolbar, and how to start and stop the meeting.
Information
Before scheduling your first LiveOnline@UT (Zoom) meeting, be sure to visit our UT Zoom page and activate your UT Zoom account. You will need your UT NetID and password, and you may be prompted to DUO Authenticate. Visit this page for more information on our UT Zoom environment. Tips for getting started include:
- Always log in to your UT Zoom account and start your meeting.
- Be sure that your audio and video are synced with the Zoom interface.
- Select Participants and Chat on the meeting toolbar to dock these two windows to the right of the content window.
The Meeting Interface
Please keep in mind that any UT Zoom meeting may include
- Multiple audio and webcam (video) broadcasts,
- Content displayed via a Share activity,
- An online text chat window.
In this example, the instructor has opened the Participant and Chat windows by selecting those icons on the toolbar, and they are now docked to the right of the content window.
- All participants present in the meeting at the time will appear on the Participant's window.
- Many meeting features, such as the Chat tool and access to audio and webcams (video), may be adjusted in real-time by the meeting host (meeting leader, alternative host, or co-host).

The Meeting Toolbar
Leaders (or hosts) may access many features via the meeting toolbar, including Audio, Video, Share, and Record. Participants in the meeting also have access to a meeting toolbar, but participants cannot control features in the way that the host can. Please note the communication icons on the toolbar, including Audio, Video, Chat, and React.
- In Zoom, Audio and Video are two different tools so one may be engaged without the other. Select each icon on the toolbar to start broadcasting. Currently, there is a red line through the Audio and Video icons on the toolbar below. The red line indicates that audio and video are off for this user.
- The Chat icon will open an online text chat for the meeting environment. Chat may be saved and access permissions may be changed in real-time.
- The React icon is an assortment of non-verbal communication symbols, such as a raise hand (raise your virtual hand), a green check to indicate yes, and a red x to indicate no.

Start and Stop the Meeting
Meeting leaders may schedule, start, and end the meeting. Be sure to log in with your UT Zoom account to claim the leader role and have access to host controls. Leaders may start the meeting by logging into the Zoom Workplace desktop app or the UT Zoom page. Instructors can also engage the Canvas/Zoom integration and schedule and start meetings from their Canvas course site.
In this example, the meeting leader is logged into the Zoom Workplace app. A meeting has been scheduled. To launch the meeting, the host should select Start Meeting. To end the meeting, the host should select End on the meeting toolbar (pictured above). The leader will be prompted to either end the meeting for all, or to exit the meeting. Before exiting, a host should assign another participant to the host role if the meeting needs to continue.
