Microsoft Outlook: Moving Mail to an Online Archive

Overview

Online Archive is a feature for Microsoft 365 that adds additional mail storage to an account. The archive will show up at the bottom of your Outlook folder list.

Windows

  1. Open Outlook.
  2. Your folder list will display on the left. The folder heading (with your email address) is all of your primary mailbox folders. In the folder pane, scroll down to find and expand the Online Archive heading.

  3. There are two options to move mail: 
    1. From your primary mailbox, drag and drop to move messages to your Personal Archive folders.
    2. From your primary mailbox, Right-click the message(s), hover over Move, then select Other Folder. Search for a folder in the Personal Archive.
  4. From the Personal Archive folder group, you can create additional folders to help organize your mail. 

Mac

  1. Open Outlook.
  2. Your folder list will display on the left. The folder heading (with your email address) is all of your primary mailbox folders. In the folder pane, scroll down to find and expand the Online Archive heading.

    2. From your primary mailbox, Right-click the message(s), hover over Move, then select Choose Folder. Search for a folder in the Personal Archive.
  4. From the Personal Archive folder group, you can create additional folders to help organize your mail. 

Outlook Web App

  1. Log into the Outlook Web App.
  2. Your folder list will display on the left. The Folders heading is all of your primary mailbox's folders. In the folder pane, scroll down to find and expand the Personal Archive heading.

  3. There are two options to move mail: 
    1. From your primary mailbox, drag and drop to move messages to your Personal Archive folders.
    2. From your primary mailbox, right-click the message(s), hover over Move, then search for a folder in the Personal Archive or choose the Personal Archive option at the bottom of the list.
  4. From the Personal Archive folder group, you can create additional folders to help organize your mail.
