Overview
You can use Microsoft Teams and SharePoint to request secure or large files from anyone. This allows multiple members of your team to have access to submitted files. Teams and SharePoint files are certified for HIPAA/PHI, FERPA, and PII data, so you know the sender’s data will remain secure.
Considerations Before Enabling Feature:
- Note, enabling this function allows members of your Team/SharePoint site to create share links that can be accessed anonymously to specific folders within your site from external users.
- Sending a Request Files link does not allow users to see contents of the folder. Users would only see contents of a folder if a member of the Team shared the folder using the Share function instead of the Request Files function.
- If you have concerns about Team members possibly allowing access to private files, OIT suggests you create a separate Team for file requests.
Instructions
Ensure File Request is Enabled
In your Microsoft Team or SharePoint site:
- Select the ellipsis … menu to the right of a folder you wish to request files for.
- Look for the Request File option. If you do not see this feature, you will need to request the feature to be enabled.

How to Enable File Request Option
You must be an owner of the Team/SharePoint site to request this feature to be enabled.
- If you do not see the Request files option, put in a request through the OIT HelpDesk
- Include the following information:
- Name of the Team
- URL of the Team (in Teams, select the ellipsis … menu to the right of the Team name and choose Copy link)

- Include this in your request: “Please enable File Request”
- You may be contacted by a Microsoft administrator or the HelpDesk to discuss or verify the request has been fulfilled
