Overview

As of June 1, 2026, OIT has implemented a new, more secure SMTP service for relaying email sent from copiers, applications, and devices. Below is the procedure for requesting access for a copier or multifunction device. Instructions for requesting access for applications and servers will be posted by August 1, 2026. Any requests for applications and servers before that time will be handled on an as-needed basis in consultation with OIT Platform Services.

Copiers that DO Support OAuth2.0 or Credentials-based SMTP Authentication

For copiers that support either OAuth2.0 or credentials-based SMTP authentication, visit the SMTP Mail Relay Use Request to submit the required information. Your request will be reviewed and, if complete and accurate, you will be contacted with the information needed to send email through the new secure SMTP platform.

You will need the following information:

  • Requestor (name, email)
  • Technical point of contact (name, email)
  • IP address of the device
  • FQDN of the device
  • Device type
  • Sending email address
  • Estimated email volume

Copiers that DON’T Support OAuth2.0 or Credentials-based SMTP Authentication

If your copier only supports legacy methods (IP-based or no authentication), you must submit a request and provide a business justification for an exception to current security best practices, visit the SMTP Mail Relay Use Request to submit the required information.

The justification must include acknowledgment from your Dean, Department Head, or Director that:

  • Unauthenticated SMTP is a legacy and insecure method
  • Service may be interrupted
  • Support may be discontinued at any time

You will need the following information:

  • Requestor (name, email)
  • Technical point of contact (name, email)
  • IP address of the device
  • FQDN of the device
  • Device type
  • Sending email address
  • Estimated email volume
  • Name of Dean, Department Head, or Director
  • Business justification

Moderate (MOD) Network May Be Required

If you are requesting an exception to authenticated mail, some devices, such as copiers and multifunction devices, will need to be placed in the moderate (MOD) network before access to smtp.utk.edu will be granted. Submit a ticket to Network Services to request that a device be added to the moderate network. Devices connected to smtp.utk.edu must have a static or static DHCP entry in NetReg. 

Annual Access Retention Review

To help us maintain a current access list, if your device does not send an email for one year (365 consecutive days), we will contact you to determine whether the device can be removed. 

Please note that if an IP address on the allow list sends spam or phishing emails via smtp.utk.edu or the new SMTP service, it will be removed.
