Notice: The OIT HelpDesk is unable to assist users in copying emails from Microsoft 365 to Gmail. The instructions below are for guidance only. The process for migrating mail is not clean; therefore, proceed at your own risk.
Before You Begin
- Once you switch your mail provider to Gmail, all new meeting invites from that moment forward will appear in your Google Calendar. Previously scheduled appointments will not appear. Exporting and importing events
- Any events that appear in both Microsoft 365 and Google will appear as duplicates after the import. For example, a recurring meeting that was accepted when you were on Microsoft 365 may also already appear in Google Calendar.
- Google provides general instructions for importing events to Google Calendar on their website. Import events to Google Calendar
- As noted below, there is not an easy or recommended method for migrating your calendar entries from macOS.
Outlook for Windows
Step 1: Export Events
- Open Outlook and select Calendar.
- Go to File > Open & Export > Import/Export.
- Select Export to a file, then click Next.
- Select Comma Separated Values, then click Next.
- The Calendar folder will already be selected so click Next.
- Click Browse to choose a location to save your file, then click Next.
- On the confirmation screen click Finish.
- You will be prompted for a date range to export. Choose your date range and click OK.
Step 2: Import events into Google Calendar
​After you export your events, you can import them into Google Calendar. You can import with ICS and CSV files on a computer.
- Open Google Calendar.
- In the top right, click the Settings Gear > Settings.
- In the menu on the left, click Import & Export.
- Click Select file from your computer and select the file you exported. The file should end in ".ics" or ".csv."
- Choose which calendar to add the imported events to.
- By default, events are imported into your primary calendar.
- Click Import.
- If you have a .zip file, find it on your computer and open it. You'll find .ics files for each of your calendars. Take the individual files out of the .zip file, and import each .ics file individually.
If you import repeat events from a .csv file, they might not show up that way. They'll be on your calendar as a series of one-time events.
Outlook for Mac
Exporting calendar items to Google Calendar is not a feature of Outlook for Mac.
macOS Calendar
Not recommended. In testing, the export of a Microsoft 365 calendar repeatedly crashed the macOS calendar app. The export calendar feature exports your entire calendar and a date range to export cannot be selected. macOS must be configured for both UTK Microsoft 365 and Google accounts. Then items must be individually dragged and dropped from one calendar to another.
