Purpose

This SOP replaces the previous manual imaging and re-imaging process. It provides standardized instructions for deploying new computers and refreshing existing computers using Windows Autopilot. Devices will automatically receive the correct Intune enrollment profile, Entra ID join, core enterprise applications, and departmental configurations.

Prerequisites

• Access to Snipe-IT, Netreg, and the Intune admin center.
• The device must have internet access during provisioning.
• Current Autopilot deployment profile and policies are assigned to the UTK-FS-AP group tag.

Asset Management (Snipe-IT)

Perform these steps on another device before or upon receiving the new computer.

1. Open Snipe-IT.
2. Create a new asset entry for the device according to FS Asset Naming SOP:
   • Name: UTKFS + Serial Number (e.g., UTKFSXXXXXXX)
   • Enter the serial number from the box label.
3. Fill in the Computer Fields as required.
4. Enter the following MAC addresses from the box label:
   • Ethernet MAC address
   • WLAN (Wireless) MAC address
   • Pass-through / Dock MAC address (last digit of Ethernet MAC + 1)
5. Print the asset label and apply it to the device.

Network Registration (Netreg)

Register the device in Netreg using the following naming convention:

Register all applicable MAC addresses per the Device Asset Naming SOP.

New Computers Purchased from Dell

1. When ordering from Dell, provide the group tag: UTK-FS-AP.
2. Complete Section: Asset Management (Snipe-IT) and Section: Network Registration (Netreg).
3. When the device arrives:
   • Connect it to the network (Ethernet preferred).
   • Power on the device.
4. At the Out-of-Box Experience (OOBE), have the end user sign in with their organizational account.
5. The device will automatically:
   • Join Entra ID
   • Enroll in Intune
   • Apply configuration policies
   • Install required applications

Existing Computers (Re-imaging / Refresh)

Use this process to refresh or re-purpose a device that was previously enrolled under an older group tag.

Step 1: Update the Group Tag

1. Go to Intune admin center > Devices > Windows > Windows enrollment > "Windows Autopilot" section >Devices.
2. Find the device and change the Group tag to UTK-FS-AP.
3. Save and wait 5–10 minutes.

Step 2: Reset the Device

1. On the physical device, go to Settings > System > Recovery > Reset this PC.
2. Select Remove everything.
3. Choose Cloud download.
4. Allow the process to complete.

Step 3: Delete the Device from Intune

1. On the device page in Intune, click … > Delete.
2. Confirm the deletion.
3. (Optional but recommended) Also delete the device from Entra ID if it still appears there. 
   Note: You may not have the option to delete from EntraID, In That case, create a ticket with OIT to delete the object. Be sure to provide the Object ID so OIT deletes the correct Object.

After the reset completes, have the user sign in with their NetID@utk.edu account. The device will automatically enroll using the new UTK-FS-AP deployment.

Very Old Computers (Never Registered in Autopilot)

If the device was never added to Autopilot:

1. Follow the Adding a System to Autopilot SOP to register the hardware hash.
2. Once the device appears in the Autopilot devices list, proceed with the Existing Computers (Re-imaging / Refresh) section above.

Verification

After the device has finished provisioning and the user has signed in, verify the following:

In Intune

• Search for the device name (UTKFS + serial number).
• Verify the Last check-in time is recent.
• Issue a remote restart from Intune and confirm the device responds.

On the Device

• Go to Settings > Accounts > Access work or school.
• Confirm it shows “Managed by University of Tennessee”.
• Click Info and verify successful sync.

If any verification step fails, open a ticket with OIT.

Post-Deployment

1. Mark the device as “Ready to Deploy” in Snipe-IT.
2. Place the device in its assigned location.
3. Document any notes in the asset record as needed.

Things to Know

• Devices using the new Autopilot process will receive their computer name from the Intune enrollment profile. Manual renaming is not required.
• The device will join Entra ID automatically via the enrollment profile. Joining on-prem Active Directory is no longer required.
• Dell Command Update is no longer part of the standard process.
• Preregistered Autopilot devices that have fallen out of Intune should reappear within approximately 20 minutes after being powered on and connected to the network.
