Standard Operating Procedure (SOP) for Facilities Services Electronic Equipment Care

Purpose

University-provided electronic equipment, including computers, radios and tablets are University property intended for business use. While Facilities Services recognizes that employees may wish to personalize their workspace, this policy provides guidelines for the appropriate use of stickers and other decals to ensure equipment remains professional, functional, and well-maintained. 

General Guidelines

  • Approval: All stickers placed on company computers must be cleared with FS IT and are required to be inoffensive, non-obscene, and must not promote any political, religious, or other potentially controversial viewpoints. FS IT or your supervisor may ask for the removal of any sticker deemed inappropriate.
  • Placement:
    • Prohibited areas: Stickers are not to be placed on or over any official asset tags, serial numbers, barcodes, or company logos. Covering ports, vents, cameras, or microphones is strictly prohibited to prevent overheating, hardware damage, or security risks.
    • Permitted areas: Stickers may not be placed on the outer case or lid of a university device.  Only approved images available in from the Sign Shop may be placed on the outer case or lid of devices, provided they do not interfere with the functionality or professional appearance of the device.
  • Removal and maintenance:
    • Cleanup upon return: Employees are responsible for removing all personal stickers and any residue before returning equipment to the FS IT department for service, upgrade, or at the end of their employment. Failure to do so may result in the employee being charged for cleaning or damages.
  • Clean removal: Only use stickers that can be cleanly removed without damaging or leaving permanent adhesive marks on the computer's surface. Failure to do so may result in the employee being charged for cleaning or damages.  Employees are responsible for any damage to company equipment caused by stickers, including discoloration, adhesive residue, or damage from removal.
  • Ownership: Any sticker or decal placed on company equipment remains the personal property of the employee, but its placement is governed by this policy. 

Equipment Care

  • Electronic Equipment Care: All electronic equipment provided by Facilities Services must be kept in a clean, presentable condition. Users are expected to handle devices responsibly, avoid damage from misuse, and ensure equipment remains free of excessive dirt, stickers, or alterations that detract from its professional appearance.
