Overview
The key request workflow ensures proper approval and tracking before access is granted. Depending on the request type, different approval layers may apply. Below is a breakdown of standard and specialized approval workflows.
Standard Key/Card Request Workflow (Non-Sensitive)
A standard key or card access request follows these sequential approval stages:
Code |
Status |
Approval Queue |
K02 |
To be approved by department head |
Key Approval (Dept) |
K08 |
Department access approved |
Key Approval (Building) |
K30 |
Building access approved |
Approved Key Requests (Key Shop) or Card Access Requests |
K90 |
Access granted |
- |
Once a request reaches K90 (Access Granted), the key has been issued or card access has been granted, and the request is complete.
Additional Approval Layers Based on Request Type
Some key requests require extra approvals beyond the standard workflow:
- Sensitive Areas: If the requested key grants access to a sensitive area, the request must be approved by a Sensitive Approver after the Building Access Approved stage before proceeding to the Approved Key Requests queue. If the request is for a master key, it will instead move to the Key Approval (Master) queue.
- Master Key Requests: If the request is for a master key, it must be approved by a Master Key Approver before proceeding to the Approved Key Requests queue. If the request involves a vacant or leased space, it will next go to the Key Approval (Space Manager) queue.
- Vacant or Leased Spaces: If the key is for a vacant or leased space, an additional approval is required from the Space Manager before it moves to the Approved Key Requests queue and the workflow checks to see if the request is a key request or card access request.
Key vs. Card Access Check:
- Key Request? → Moves to Approved Key Requests (Key Shop) queue for key issuing
- Card Access Request? → Moves to Physical Security queue for granting card access
- K90 – Access granted → Key issued or card access granted, request completed
Understanding Where a Request is in the Process
The current status of a request indicates where it is sitting in the approval workflow. However, if a request has reached Building Access Approved and has not yet moved forward, it may still be awaiting approval from an additional required approver, depending on the request type.
