ESS: Submitting an ESS Leave Request

All leave requests are completed through the IRIS Web Portal using your NetID and password.  Select the “Employee Self Service” tab, then “Working Time” as shown below:

Following that, choose “Leave Requests”.

After selecting the “Leave Request” option, a new screen will appear:

 

Overview

The Employee Self Service Leave Request application enables you to submit leave requests, check the status of previous requests, and change or delete requests. This document explains the detailed instructions of the process. You will need to have the following information in order to begin:

  1. Type of Leave:
  • Annual leave, sick leave, holiday, etc. There is a drop down menu to request your particular category of leave. You can only select one category of leave at a time.  If you need to request two different types of leave for one day, such as ½ day of sick leave and ½ day of annual leave, enter two separate leave requests. 
  • If you are non-exempt, make sure you choose the version of the type of leave that corresponds to your normal schedule. For example, 1st shift for those who work first shift or during that day, which will be most people.                                                                                                  
  1. Date(s) of leave:
  • The start date and end date of the leave. You will need to enter one date or a range of consecutive dates for each leave request. See screenshot below.
  1. Absence hours for leave:
  • The total number of hours for the leave request.
  1. If you are requesting a half day off, or for example 1 ½  days or 12 hours, two separate leave requests need to be submitted.  One for 8 hours, the other for 4 hours.
  2. If you are an exempt employee your leave request can overlap a weekend. The system will not assign leave on non-working days.

 

 

Upon verification the information is accurate, select “Send” to forward it to your supervisor.  Should you have more than one request, you may select “Send and New”. If it is incorrect you also have the option to select “Cancel” and begin again.

After selecting one of the send buttons, an approval window is generated as seen below.  If it is accurate, select “OK”. If it is inaccurate, select “Cancel”.

Once you select “OK” to submit your request, you will be returned to the “Leave Overview” screen with your most recent request listed first. 

Things to Know

  • You must have already accrued the number of hours for the particular absence type (e.g. annual leave, sick leave, etc.) in order to submit the leave.
  • Once a leave request is submitted, an email will be sent to your supervisor to approve or reject.  Once that is completed, you will receive an email.
  • If payroll is being run, the system may temporarily prevent you from requesting leave.  Likewise, during payroll processing there may be a short delay in updating the status of your leave request after approval-even if it is outside the current payroll period. 
  • The status for your leave request will be:
  • Sent – your supervisor has not approved or rejected the request.
  • Approved or Rejected – approved or rejected by your supervisor and may or may not be posted.  The update cycle will run twice daily, updating any approved leave requests to your attendance record.
  • Leave requests that have been approved, but not yet posted to your attendance record, can be changed and deleted. Approved requests that have been poste may also be deleted, but will be sent to your supervisor for additional approval.
  • Do not use your browser back button when navigating in the leave request application.
