Zoom: Generate an Attendance Report or Poll Report

Overview

LiveOnline@UT (Zoom) reports are available to instructors or meeting leaders via our UT Zoom page at tennessee.zoom.us. Participants in a Zoom session do not have access to run a report for that session.

The following examples will explore how to access reports and how to generate a report.

Instructions

Access LiveOnline@UT (Zoom) Reports

  1. Go to tennessee.zoom.us
  2. Select Create or Log In to sign in with your NetID and password. 
  3. Select Reports in the left-side menu, and then Usage Reports (this may be the default).
  4. For an attendance or a polling report, choose Meeting and Webinar History.

Generate an Attendance Report

  1. After selecting Meeting and Webinar History, the page will advance. 
  2. Use the calendar boxes to select a date range of the meeting and select Search. Meetings within the date range will appear.
  3. Locate the meeting and review the Participants column. Select the number in this column to view more details on who attended. In the example below, there are two meetings listed and two participants attended each meeting.

  4. After selecting the number in the Participants column, a new window will appear containing the data. Data may include the name and email address of the participants and the join/leave time. On the left, please note the check box for Show Unique Users (pictured below). Selecting this option before exporting data may be handy for larger meetings. This option condenses participant data to one unique record, in case that participant should join or leave the meeting multiple times.
  5. When ready, select Export on the right to start the download process. The data will download as a .csv file into the browser's Downloads area. A .csv file may be opened with Microsoft Excel.

Generate a Poll Report

  1. In the Reports section of your UT Zoom account, select Usage Reports tab.
  2. Choose Meeting and Webinar History.
  3. Select your date range and use the pull-down options to select meeting or webinar.  Select the poll data option. Select Search when ready.

  4. When the results appear, please note the icons on the right of the window, including Report Queue, Export, the gear icon, and the generate icons. A close-up of these icons is shown below (see item 6).

  5. The Report Queue may highlight when a report is in progress. Select the Export icon for more options regarding downloading meeting details, such as title, date, time, etc., or to export a list of features engaged during the meeting. Select the Gear icon to adjust/choose columns of data to be included in the export, such as start time, end time, and specific features used.
  6. To generate a poll report, select the Generate icon to start the process and then if prompted on-screen, select Poll Report. This action may trigger the Report Queue and indicate the function is in progress. The report will download as a .csv file into the browser's Downloads area. A .csv file may be opened with Microsoft Excel.
